Project Management - Scheduling Your Resources

All projects start with the project manager receiving a brief, and then their first job is to make sure that they gather the right resources to let them carry out the project to its full potential. In this context, you would call anything that the PM needs for the project a "resource" - it could be equipment such as projectors or computers, a training room or meeting room or perhaps a car for certain days. It is also a term that can be used to describe the people who bring their unique skills to the project.

It is important to ensure that all of these aspects are balanced out to make sure that there are no shortfalls that could lead to a delay of the project. Forward planning is essential - rooms and people must be booked in advance to avoid other projects booking them up instead. Booking in as much as possible should be one of the earliest tasks for a project manager, especially in a busy company.

Another extremely important issue is matching up the right people and their skills with the project requirements. For example if it is a web developer you are after, but the site needs to be coded in a certain programming language, you must ensure that you book a web developer who knows this language! It may sound like it should go without saying, but if it is not done this may not be found out until the project starts and will cause delays.

For the people who carry out the tasks, their workload will have an effect. There is every chance that they will be working on multiple projects at a time, meaning there is a great need to stay on top of their workloads. It could be that another project has run into problems, and they are kept on that task for longer than expected, so being able to quickly re-allocate tasks to different people is a must.

In order to help a project manager do this, project management software with a resource scheduling feature can make a big difference. Gone are the days when all of this management of resources would be done on a simple Excel spreadsheet, or even further back when it would mainly be done on a board in the office!

Project management software packages now have lots of resource management features that allow you to see the calendars tasks of all the resources which allows you to see exactly the capabilities of the people in the team. As many packages include multiple projects, it should give you the ability to ensure that resources are managed correctly throughout the whole company.
